Automations Overview


This article will show you how to navigate the Automate Emails/Texts section of your Hive, which is where all of your Hive’s default automations are located. Separate from Mass Emails/Texts and Drip campaigns, the automations in this section (if enabled) are triggered once their associated action (ex: membership renewals) have been executed, which we’ll cover in more detail below. 

  1. To begin, go to Communicate >> Automate Emails/Texts >> then you’ll be able to see all of the available automations in your Hive, which are organized into sections for Membership, Addons, Instructor, General/Sales, Account, Fitness, Nutrition, Appointments, and Class Schedule.


  2. Instead of running through each individual automation, we’ll dive into how you can tell what each one is for, if they’re enabled, who they’re sent to, and what their triggers are from the info displayed in the columns on this page.



    Name/Subject: provides the name of the automation, as well as the subject of it.


    Type: indicates if the automation is an email or text message. The envelope icon indicates it’s an email and the conversation bubble icon indicates it’s a text message.


    Enabled: shows whether or not the automation is enabled; check mark indicates it’s enabled and the X indicates it’s disabled.


    Customized: this indicates whether or not the automation has been customized/edited in any way.


    Recipient/When Sent: this shows who the automation is sent to, as well as when it is sent.


    Here’s a breakdown of the different Recipient types:

    Hive Notification Email: the automation will be sent to the default admin notification email connected to your Hive.

    User: if the Recipient type is User, Member, Person, Registrant, or Guest the automation will be sent to the end user.


    Instructor: the automation will be sent to the associated instructor.



    Underneath the recipient are the details of when the automation is sent/what triggers the automation. For example, the Payment Receipt automation will be sent the moment a payment is recorded.



  3. To enable/edit an automation, simply click the Name to open its settings. From there, check Yes for Enabled? to enable the automation.


    To make edits to the message itself, hover over the content box and select Edit, then make your changes as desired. For a refresher on how to edit email content, please
    review steps 5 through 7 in the Mass Email support article. Once you have finished making your edits, click Save to complete the process. 


Lastly, please note that not all of the automations are enabled by default, so we strongly encourage running through these to make sure you have them enabled/disabled to best fit your needs.
