Class Waitlist Auto-Enroll


This article will provide you with a detailed explanation of how the Class Waitlist Auto Enroll feature (from the Classes Available settings) is set up. You’ll want to make sure you’re logged into the admin view of your Hive to follow along. 

  1. To begin, go to Settings >> select Classes Available>> then select the class you’d like to enable the waitlist auto-enroll for. 



  1. From the class settings page, scroll down to the Waitlist settings and check the box to enable it. 


  1. Once enabled, you’ll notice that the Waitlist Auto Enroll setting is now available. By default, auto-enroll is disabled, which means that all users on a waitlist will be sent an email letting them know once a spot opens up, which will be first come first serve. 

    To enable the auto-enroll settings, simply click on the dropdown and select the auto-enroll threshold that best fits your needs. As a reminder, thresholds refer to the amount of time a user is eligible to enroll in the class prior to its start time. 


  1. After you have made your selection, you can either click Save, or Save and Apply to All, the latter of which will give you the option to bulk update all its existing class times currently on your schedule. 


Now that we’ve covered how to set up the Class Waitlist Auto Enroll settings, here is some additional information on how this works from a technical standpoint. 

  • Based on how the Members No Charge settings are set up, the auto-enroll setting will always enroll the first “best” eligible user from the waitlist to the class, which essentially means the first user who would normally be able to sign up to the class for free. 

    For example, let’s say there’s a class that has a $10 signup fee, but the fee is waived for all users with Membership X. Now let’s say that Jane D. is the first person on the waitlist, but she has Membership Y. The second person on the waitlist, John. D, has Membership X. When a spot opens up, John D. would be auto enrolled into the class before Jane since his membership makes him eligible to sign up for free. 

    If there are no users on the waitlist that meet the criteria for a free class signup based on the Members No Charge settings, your Hive will send them out an email letting them know a spot has opened up instead of auto-enrolling them. 

    However, if the class is set up to where all users have to pay, then the auto-enroll feature will auto-enroll and charge the first user on the waitlist and work its way down. 

  • The signup threshold in the default class settings will always take precedence over the waitlist auto-enroll threshold. This means that if you set the waitlist auto-enroll threshold to 2 hours prior to the start of the class, but the class signup threshold is set to 4 hours prior, then users on the waitlist will only be auto-enrolled up to 4 hours prior to the start of the class. We strongly recommend that you check both the signup and waitlist auto-enroll thresholds to make sure they line up with each other. 

  • You'll need to make sure you have the Class Registration automated email enabled to ensure that users are notified when they're auto-enrolled into the class. You'll also want to make sure that you have the Waitlist automated email enabled as well for users on the waitlist who aren't eligible for auto-enroll. As a reminder, you can access these automations by going to Communicate>> Automate Emails/Texts.
