How to Set up Recurring Appointment Times

How to Set up Recurring Appointment Times

This article will show you How to Set Up Recurring Appointments in your Schedule.
  1. To begin, go to Schedule >> Manage Appointments. You’ll then be provided with a snapshot of your appointment schedule.

  2. To set up a recurring appointment, select the appointment time on the last day it’s available from your schedule. For example, if you have an 8am consultation appointment that is available from 2/24-2/28, you’d select the 8am appointment on 2/28. If you were to select the 8am appointment on 2/24 to be recurring, you would create duplicates on 2/25-2/28 since the appointment already exists on those days, so it’s important to remember to always select the last available appointment time.

  3. Once you have selected the appointment, a pop-up will provide you with a view of its settings. From here, you’ll select Create Recurring to proceed.

  4. The next page is where you'll be able to edit the Recurring Rule for the appointment, which is where you’ll set the schedule for the appointment to recur on, beginning with the days of the week. For example, if you want this to be available Mon-Fri, you would select Mon, Tues, Wed, Thurs, and Fri.

  5. The next setting, Create Every, gives you the option to set how often you want the recurring appointment to be created. If you want this to be added weekly, you would leave Create Recurring to 1 week. If you want to make this appointment time available every other week, you would set this to 2 week(s).

  6. The last setting for the recurring appointment time is to set how far out you’d like to schedule it, which can be up to 1 full year. Please note that the system does not factor in holidays, so if an appointment time happens to fall on a holiday that you’re closed on you’ll need to manually delete it once it’s been added to your schedule.

  7. Once you have selected the days and how often to create the recurring schedule, select Calculate dates. This will then provide you with a master list of all times/days this appointment will be added to your schedule.

If anything looks incorrect, you can select Change Parameter (recalculate dates) to make changes as needed. If everything looks good, you’ll check the I confirm the above dates/warnings box, then select Create Selected Times. You’ll then see the appointments added to your schedule.

  8. You can then repeat these steps for any other appointment time you’d like to be recurring.
The next option to add appointments to your schedule is by copying an existing date range, which you can learn more about HERE. As always, please feel free to reach out to success@myfithive.com with any additional questions you may have.
