ICS/iCal Calendar Integration

ICS/iCal Calendar Integration

This article will show you how to sync the class schedule in your Hive to an external ICS/iCal calendar, such as Google or Apple Calendar. Please note that this sync is currently one-way, which is from your Hive to your external calendar. Additionally, some external calendars, such as Google, will varying time frames ranging from 10 mins to a few hours with how often they sync/update.

Setting Up the iCal Export/Share in Your Hive

  1. From your admin dashboard, go to Settings >> select iCal Export/Share (located in the Class Schedule settings) >> then select Create

  2. Next, edit the available settings, which we've outlined below:

    1. Name: add the name you'd like to use for the calendar link; this is for internal use and is not publicly displayed
    2. Description: optional setting to add a brief description but is not required; this is also for internal use and is not publicly displayed
    3. Include Private Events: by default, classes set as private events will not be synced to your external calendar, but you can enable this by checking the box. Please review the Settings: Classes Available support article to learn more about private events
    4. Restrict to Specific Classes: gives the option to select which class types you'd like to sync to your calendar. By default, all class types will be included.
    5. Restrict to Specific Instructors: gives the option to select which instructor's class schedule you'd like to sync to your calendar. By default, all active classes will be included regardless of the instructor assigned to them.

  3. Once you've finished with the settings, click Save. You'll then be provided with the Link/iCal URL, which you'll need to copy and paste to the external calendar of your choice.

How to Connect to Google Calendar (Computer)

Google Calendar does currently support subscribing to a ICS link through the mobile app, so you must use a desktop to set this up. However, once it's been setup the class schedule from your Hive will also be synced to your Google Calendar mobile app (if applicable).
  1. Open up your Google Calendar in separate browser tab

  2. Locate the Other calendars option in the left hand menu and click the + to add a new calendar

  3. Select From URL >> paste in the Link/iCal URL from your Hive >> then click Add calendar to complete the process.

**Please note that the initial sync to Google calendars can take a few minutes to finish propagating. Any changes made to the class schedule in your Hive can also take anywhere from 10 mins to up to 10 hours before it is synced to your Google calendar, which is solely controlled by Google.

How to Connect iCal (Computer)

  1. Open up your iCal calendar

  2. In the top menu, click Files >> New Calendar Subscription

  3. Paste the Link/iCal URL into the field and click Subscribe

  4. Choose your preferences

  5. Click Ok and the calendar will appear in your sidebar

How to Connect to iCal (iPhone/iPad)

iOS doesn’t let you subscribe directly via the Calendar app itself, but you can set this up through your device Settings.
  1. Go to Settings >> Calendar >> Accounts >> Add Account >> Other

  2. Tap Add Subscribed Calendar

  3. Paste the Link/iCal URL from your Hive

  4. Tap Next >> adjust the settings as desired >> tap Save

We hope this helps but please feel free to reach out to success@myfithive.com with any additional questions you may have.
