The Client Checkins Tool




This article will show you how to enable and use the 
Client Checkin tool. These are essentially custom forms that you can create and add to a client’s profile to have them automatically be sent to them on your selected timeframe. Please note that Client Checkins are completely separate from anything attendance related and is more an automated way to “check in” with your clients to see how they’re doing/hold them accountable. 

  1. To begin, go to Settings >> scroll down to the Fitness section and select “Checkins.”



  1.  From here, activate the Enable Checkins setting. 



  1. Next, select Add Checkin Form to start the building process, beginning with giving it a name. 



  1. You can select what Measurements and Maxes/PRs you want your clients to provide you with, which are both optional. 



  1. You also have the option to set whether or not you’d like to add an option for the client to upload a progress photo and, if so, if it’s required.



  1. You can add custom fields by clicking onAdd Field, then provide your question in the field. You can then repeat this step for every additional question you want to include. When finished, hitSaveto complete. 




  1. Now that the Checkin template has been created, you can add this to a client’s profile by going toPeople(CRM)>>ViewEveryone>> select the User. 



  1. From their profile, click on the Records tab >> select the Checkins sub-tab >>Edit Checkin Configuration



  1. From here, you’ll set the next Checkin date. Checkins open up at 12pm local time on the next checkin time, after which they'll have the amount of time set in the "Hours allowed to complete" threshold to complete it. Please note that same day checkins must be added to the user's profile prior to 12pm in order for it open up, otherwise it'll be skipped to the next scheduled checkin date. For example, if today is Jan 1st and you want the Next Checkin Date to also be 01/01/2024, you need to make sure to add this to their profile prior to 12pm local time. 



  1. Next, select the Checkin Form you’d like to add from the drop down, how long they have to complete it, and how frequently you’d like them to complete the checkin, then hit Save to complete. *Please note that the most frequent you can set up a checkin is weekly.*



  1. As your clients start to submit their checkins, there are 2 places you can view them. The first is directly through their profile, which you can access by following the first two directions on step 8 above. 


    The 2nd option is the master list of all checkin submissions, which you can access by going to
    Fitness>>Checkins>> then simply select the submission you’d like to view from the list. 


  1. To stop a checkin for a user, go back to their profile and open up the checkin, delete the next checkin date, save it, and they will no longer be sent that checkin.
