Meeting Links for Virtual Appointments/Classes
This article will show you how to add external meeting links to virtual classes and appointments in your Hive. Before we begin, please note that external meeting links do not have the ability to be embedded through your Hive, so an additional window will open in your internet browser when you and your members click the external link to join. If you wish to embed virtual classes/appointments, which will give you and your members to join directly from your Hive/member app, you must have an active
Zoom account connected to your Hive.
Enabling Meeting Link Integrations
- To begin, go to Settings >> Virtual Class/Appointment Settings.
- Next, scroll down to the Meeting Link Settings >> then enable/disable the Class Schedule Integration and/or Appointments Integration as desired.
- Class Schedule Integration: if enabled, this will allow you to add external meeting links to your classes.
- Appointments Integration: if enabled, this will give you the option to add external meeting links to your appointments.
- Once you've enabled the desired meeting link integrations, click Save.
Adding Meeting Links to Classes
- Go to Schedule >> Schedule Classes >> click on the desired class time from your schedule >> then click Edit, which will open up the class settings.
- Next, scroll to the Virtual/Video Class setting and select Meeting Link from its dropdown.
- You can then paste your external meeting link(s) in the Guest Link URL and Host Link URL fields. If the service you're using (Zoom, Google Meets, etc.) does not have separate links for guests/hosts, you can simply add the meeting link to the Guest Link URL field and leave the Host Link URL field blank.
- Once you've finished adding your meeting link to the class, click Save to complete the process. You can then repeat these steps for any other you'd like to add a meeting link to.
Adding Meeting Links to Appointments
- Go to Schedule >> Manage Appointments >> click on the desired appointment time >> then click Edit, which will open up the appointment settings.
- Next, scroll to the Virtual/Video Class setting and select Meeting Link from its dropdown.
- You can then paste your external meeting link(s) in the Guest Link URL and Host Link URL fields.
- Once you've finished adding your meeting link to the appointment, click Save to complete the process. You can then repeat these steps for any other appointment time you'd like to add a meeting link to.
You can also the enable meeting link setting through the default
Class Settings and
Appointment Settings as needed, but please note that the actual meeting links themselves can only be added to a class or appointment once it's been added to your schedule.
How to Start/Join Meeting Link
When you're ready to start your virtual class you will go to Schedule >> Schedule Classes >> select the Class from the schedule >> then select Join Meeting Link. Please note that you will only be able to start the meeting within 30 mins from the scheduled start time of the class.
Your members will be able to join the virtual class directly from the member app or by logging into their online account. They will register for the class through the app or website like normal, then once registered will have the option to "Join Virtual." As mentioned above, members will only be able to join the meeting link within 30 mins from the scheduled start of the class time.
