Pipelines

This article will show you how to set up and manage Pipelines in your admin dashboard. This feature allows you to track where contacts/leads are in a funnel from start (lead acquisition) to finish (purchase made) through the use of tags on actionable items, such as form submissions, early lead capture, membership signups, appointment bookings and more.

Before setting up a Pipeline, you'll need to create the tags and connect them to the actions in your funnel. Please note that any active action (add to/remove from drip, add/remove tag, etc) associated with a tag will still be executed if it's connected to a Pipeline. If you're unfamiliar, or need a refresher, on how tags can be used in your Hive please make sure to check out the Tags support article
  1. To begin, go to People (CRM) >> Pipelines >> then select Create so set up a new Pipeline. 


  2. Next, give the Pipeline a name (ex: 6 Week Summer Challenge, Free Week Trial, Free Nutrition Consult, etc.)


  3. You'll then select the Tags for each step of pipeline you'd like to track by clicking on Add Step/Tag.

    1. Here's a quick example funnel for a 6 Week Challenge:
      1. Leads fill out a contact form, which tags them with "6 Week Challenge Lead" and adds them to a drip campaign to get them to book an appointment for a free consultation.
      2. Lead books their appointment, which is tagged with "6 Week Challenge Appointment Booked". 
      3. After their appointment, the next step is to get them to sign up for a free trial membership, which is tagged with "6 Week Trial Membership". 
      4. The final goal is to get them to sign up for the 6 Week Challenge membership, which has been tagged with "6 Week Challenge Signed Up".

    2. Here's how this example funnel can be set up as a Pipeline:
      1. First Step: select the "6 Week Challenge Lead" tag since the indicates they've completed the 1st step of the pipeline/funnel
      2. Second Step: select the "6 Week Challenge Appointment Booked" tag since booking an appointment is the next step of the pipeline
      3. Third Step: select the "6 Week Trial Membership" tag since this is the final step before they complete the end goal of signing up for a full-time membership. 


  4. Next, select the Pipeline exit tags by clicking on Add Exit Tag. These are the tags that can be applied to users when an admin has removed them from a Pipeline, such as when they have completed the final action, or have indicated that they're not interested. Please note that Exit Tags do not automatically remove users from a Pipeline, but instead can be added to the user once an admin has removed them from the Pipeline (more information on this below). 


  5. Once you have finished selecting the tags for your Pipeline, click Save to complete the setup process.

  6. Each tag/step of your Pipeline will have its own column, which will list all users currently in each one. As an admin, you have the option to manually reposition a user within the Pipeline by clicking on the directional arrows within their contact card.


  7. When a user has either completed the final action of the Pipeline, or have confirmed that they're not interested, admins can remove them by clicking the X on their contact card, then either select the applicable Exit Tag (Ex: Signed Up, Not Interested, etc), or "Remove from entire pipeline (no exit tag)". Please note that as of now, only admins can remove users from a Pipeline. 


  8. Additionally, Pipeline notes will automatically be generated and added to each user's profile as they complete each step.


    If you don't want your Hive to automatically generate pipeline notes in the user profiles, this can be disabled/enabled by going to Settings >> General Settings >> scroll down to the Pipeline Settings section >> then enable/disable the Pipeline User Note setting as desired. 


  9. Lastly, tags used in a Pipeline will be clearly marked as such when you're selecting tags in other tools, including memberships, contact forms, custom forms, and any other feature that uses tags.


Since Pipelines are tracked by tags they can be extremely flexible for a variety of needs. You can also use the completion of one pipeline as a trigger to enroll users into another one, such as signing up for 6 week challenge then transitioning into a regular month-to-month membership, or upselling month-to-month members with personal training, nutrition plans, and more.
